How Inventory Sync Works

When a sale occurs on any platform or you make a manual adjustment:
  1. OrderMonk receives the inventory change event
  2. Your central stock level is updated
  3. Updated quantities are pushed to all connected platforms
  4. Sync status is logged for audit trail

Managing Your Inventory

Viewing Inventory

Navigate to Inventory in the main menu to see your complete product catalog with stock levels across all channels.

Updating Stock Levels

You can update inventory in several ways:
Click on any product in the Inventory view, update the quantity, and click Save. Changes are pushed to all connected platforms.
Go to InventoryImport to upload a CSV file with SKU and quantity columns for bulk updates.
Use the OrderMonk API to programmatically update inventory levels. See the API Reference for details.
Click Sync All Platforms to pull the latest inventory data from all connected channels and reconcile.

SKU Mapping

Products are matched across platforms using SKU mapping. OrderMonk supports:
  • Automatic matching — By SKU, UPC, EAN, or ASIN
  • Manual mapping — Link products manually in the product detail view
  • Variant mapping — Map size/color variants across different platform listing structures

Stock Rules

Configure intelligent inventory rules in SettingsInventory Rules:
  • Buffer Stock — Reserve a percentage or fixed number of units as safety stock
  • Channel Allocation — Allocate specific percentages to different channels
  • Reorder Points — Set minimum stock levels that trigger low-stock alerts
  • Max Quantity — Cap the quantity shown on specific platforms
Use Buffer Stock during peak seasons (Black Friday, Prime Day) to prevent overselling due to sync delays.

Sync Monitoring

Sync History

View all sync events in InventorySync History:
  • When each sync occurred
  • Which platforms were updated
  • How many products were affected
  • Any errors or conflicts

Handling Conflicts

Occasionally, stock levels may conflict between platforms. When this happens:
  1. OrderMonk flags the conflict in Sync History
  2. You’ll receive a notification (if enabled)
  3. Resolve by choosing which platform’s value to use, or setting a manual override
If sync errors persist, check your platform connection status in SettingsIntegrations. An expired API token is the most common cause of sync failures.
